Mobility for Placement (Traineeship- SMP) provides university students with the opportunity to gain hands-on experience abroad in an organisation related to their studies prior to their graduation.

Traineeship helps a student further his/her vocational education or gain work experience in a organisation at one of the participant countries (European Union countries).

 

The traineeship activity cannot be utilised for studies such as research assignments or analytical studies within the scope of a specific curriculum. The studies, scientific research and projects that the student intends to complete or use a complement to his or her scientific studies cannot be considered as traineeship activity. In order for these activities to become a traineeship activity, they should be carried out not within the framework of academic studies but as vocational activities with economic returns in the relevant sector. The traineeship activity is for the student to acquire applied professional experience in the field of their vocational training.

If traineeship will be pursued at a higher education institution, the work to be conducted will not be a learning activity in the academic sense, but rather applied professional experience in the general administrative departments of the institution. No traineeship activities can be pursued for the purpose of academic studies.

The traineeship activity is not expected to be mandatory for the student’s diploma programme. However, the economic sector where the traineeship will be pursued must be relevant to the student’s current vocational training programme.

 

Types of accepted a host organisations

ASBU does not have specific partners for mobility for placement and students are supposed to arrange their host organisation on their own.

Students may pursue their placements in one of the following organisations, given that the host organisation/ deparment and the traineeship programme are relevant to their field of studies;

The receiving organisation can be any public or private organisation active in the labour market or in the fields of education, training and youth.

For example, such organisation can be: 

  • a public or private, a small, medium or large enterprise (including social enterprises);
    • a public body at local, regional or national level;
    • a social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions; 
    • a research institute;
    • a foundation;
    • a school/institute/educational centre (at any level, from pre-school to upper- secondary education, and including vocational education and adult education);
  • a non-profit organisation, association, NGO;
  • a body providing career guidance, professional counselling and information services;
  • a Programme Country Higher Education Institution (HEI) awarded with an Erasmus Charter for Higher Education (ECHE).
  • The following organizations are not eligible for Erasmus + traineeship activity:
  • EU institutions and agencies (https://europa.eu/european-union/about-eu/institutions-bodies_en)
  • National Agencies and similar institutions carrying out EU programs

                  Mobility Duration: from 2* to 12 months.

*The host organisation might be closed for a day or more than one day. Students will receive grant for those days, however, these holidays will not be included in the calculation of their traineeship duration. Thus, students are obliged to learn the holidays of the host institution in advance and ensure that their traineeship lasts minimum 2 months after the deduction of holidays.

The same student may participate in mobility periods totalling up to 12 months maximum per each cycle of study (bachelor, master, Ph.D.), independently of the number and type of mobility activities. Participation with a zero-grant from EU funds counts as well towards this maximum duration. 

Remark: Recent higher education graduates may participate in a traineeship. Recent graduates must be selected during their last year of study, and must carry out and complete their traineeship abroad within one year of obtaining their graduation.

The duration of a traineeship by recent graduates counts towards the 12 months maximum of the cycle during which they apply for the traineeship.

Application Requirements

In order to apply, students must 

  • Be a citizen of the Turkish Republic or an international student enrolled in a full-degree program at ASBU;
  • Have completed at least the first year of their studies in their faculty (Students studying in the English Language Preparatory Programme are not eligible to apply);
  • Have a GPA of 2.20/4.00 or over (for undergraduate students)/ Have a GPA of 2.50/4.00 or over (for masters and Ph.D. students)
  • Have a proficiency level of minimum B2 in English. (if the receiving organisation has a language of instruction different than English, students must document their level of proficiency in that language.)
  • In case of previous participation in the Erasmus+ Programme at the same cycle (bachelor/ master/ Ph.D.), the total duration of completed and planned mobilities may not exceed 12 months. For example, an undergraduate student, who has previously participated in Mobility for Studies for 10 months, may not apply for Mobility for Placement for 3 months;
  • Prior to submitting their applications, students should receive an acceptance letter from the host organisation they want to carry out their traineeship;
  • For post-graduation traineeship activity, the student application must be made prior to graduation (the fourth year of Bachelor programmes). Students who have already graduated cannot apply.

Application

Students, who decide to pursue a traineeship abroad, should start planning early.  They should:

  1. Attend one of the Erasmus Information Sessions organised by the International Office;
  2. In cooperation with their deparment coordinator, decide on:
  1. The most suitable period to go for an exchange;

Remark:  It is strongly recommended to pursue traineeship during summer. Please bear in mind that traineeships pursued after graduation can not be recognised and shown in student transcript of records or diploma supplement.

  1. The most suitable country/host organisation/department to apply;

Remark: Students are supposed to arrange their host organisation on their own.

  1. Follow the International Office’s open call for application. Complete the application form and submit it along with the required documents before the application deadline. Late submissions will not be accepted. 

Remark: Applicants will be asked to submit an acceptance letter. The acceptance letter should be written on a headed paper, signed, stamped and include:

 

- dates & subject of the traineeship

- name of the institution where the traineeship will take place

- name and function of the person who signs the letter.

 

It should be clearly specified that the applicants will work as a trainee rather than a researcher. Letters including such notions like “research” or “scientific study” will not be accepted.

  1. Take the English Proficiency Exam for Exchange Programmes, which is given once a year by the Basic English Unit;
  2. Once they are selected as a participant, they should, in cooperation with their Department Coordinator and Supervisor at the host institution, complete their traineeship programme;
  3. Arrange their travel and accommodation, open a Euro account in a bank, apply for visa, get a valid health insurance and the like.

Important Notes:

  1. Selected students have to attend the Orientation Programme hold by the International Office before their departure;
  2. Students have to take the Online Linguistic Support (OLS) before and after their mobility. Students, who fail to fulfill this condition may be asked to refund the grant that they received during their Erasmus mobility period;
  3. Students agree to fulfill their commitments regarding the exchange, including but not limited to obeying deadlines, submiting required documents, attending relevant trainings, following the requests and rules of the host university and the like;
  4. Please note that following the announcement of the placement and grand allocation results, selected students will have 30 days to waive their participation in the Erasmus+ Program. If students cancel their mobility at a later date, 10 points will be deducted from their grades in their applications to Erasmus+ Program in the following years;
  5. Students, who are not able to attend the program for any reason, should promptly inform the International Office by submitting their letter of waiver;
  6. Students who would like to extend their stay should inform the International Office minimum 45 days prior to the end of their mobility. Both receiving institution and ASBU should agree on the extention. The agreement and the necessary revisions should be completed at least 1 month before the end of the duration of activities and the extended duration should follow the ongoing period without interruption (holidays and recesses between periods are not considered as interruptions);
  7. Please note that in the case of return without completing the minimum duration and without a force majeure (such as extenuating circumstances, familial reasons, health issues, natural disasters) will result in refund of all Erasmus grant received;
  8. Students must obtain required insurance policy coverage prior to their departure. Health and liability insurance are obligatory for Mobility for Placement;
  9. No grant will be paid to the student for durations outside the guest institution (city / country) exceeding 1 week, excluding public holidays observed at this institution, i.e., during the normal conditions under which a study or a traineeship should be pursued. If a payment has already been made, the student will be requested to reimburse the institution for the grant amount corresponding to this period.
  10. Students, who fail to fill in the participant survey on their return will be subjected to a deduction of no less than 20% of their grant.
  11. The mobility of students failing to submit documents proving their participation (Certificate of Attendance and Transcript of Records submitted on their return) is considered invalid and no grant will be paid to the student, while the grant paid at the beginning of the programme will be withdrawn.
